Eligibility Window

  • Apply anytime after 3 academic months of Interim Status.
  • Must apply before 5 months, or the Interim Status expires.
  1. Prepare Full Status Application Materials
    • Submit through the Full Status Application Form:
      • Evidence of how the Club fulfilled its mandate during the Interim Status
      • Description of how the Club benefited the SSMU community
      • Plans for long-term sustainability
      • Updated Annual Budget (template required)
      • Member List of at least 25 students
      • Documentation for three events hosted during Interim Status
  2. Standardized Review Process
    • The application is reviewed according to the Full Status Approval Rubric.
  3. Governance Approval Chain
    • Submitted to the Clubs Commissioner
    • Reviewed by the Club Committee
    • Voted on by the SSMU Legislative Council
    • Ratified by the SSMU Board of Directors
  1. Initial Inquiry
    • Contact the Clubs Coordinator to confirm no overlapping Clubs exist.
  2. Requirements Review
    • Review all rights and responsibilities of Clubs in the Internal Regulations.
  3. Prepare Application Materials
    • Submit the following:
      • Cover Letter outlining goals, mandate, operations, and student benefits
      • Annual Budget (using the required Excel template)
      • Proposed Club Constitution (using Executive or Collective Structure template)
      • Member List with at least 10 students
      • Affiliation Letter (if the Club is part of or linked to an external organization)
  4. Submit Interim Status Application Form
    • Complete and submit the SSMU Interim Status Application Form.
  5. Committee & Governance Review
    • Application reviewed for viability.
    • If viable, it proceeds to the SSMU Legislative Council and the Board of Directors for evaluation.
  6. Decision & Onboarding
    • Clubs Coordinator informs you of the final decision and next steps.
  7. Administrative Activation (If Approved)
    • Before operating, complete the required admin steps:
      • Submit the Student Group Information Form
      • Create official SSMU Club email via the Systems Administrator (jcampbell@ssmu.ca)
    • Must apply for Full Status within 3–5 academic months to avoid automatic expiration.
  1. Initial Contact & Proposal Submission
    • Contact the VP Student Life (studentlife@ssmu.ca) to express interest in becoming an SSMU service.
    • Submit a proposal package containing:
      • Explanation of the long-term sustainability of the proposed Service
      • Rationale for why the group should receive Service Status
      • Description of programming and operations
      • A proposed Service Constitution
      • Annual budget for the proposed Service
  2. Services Review Committee Assessment
    • The Services Review Committee reviews the full proposal.
    • The committee determines whether the group is a viable candidate based on need, sustainability, uniqueness, and compliance.
  3. Governance Review & Approval Process
    • If viable, the proposal is forwarded to the SSMU Legislative Council and the SSMU Board of Directors.
    • Both bodies evaluate the application based on the Internal Regulations of Student Groups.
  4. Status Granted
    • Upon successful evaluations and approvals, the organization is granted SSMU Service Status, gaining access to Service-level responsibilities, governance, and support.
  1. Initial Contact & Proposal Submission
    • Contact the VP Student Life (studentlife@ssmu.ca) to express interest in becoming an ISG.
    • Submit a proposal package containing:
      • Organization’s constitution
      • Current fiscal year budget
      • Member list with at least 50 SSMU active members
      • Clear explanation of the benefits your organization provides to McGill undergraduates
  2. VP Student Life Review
    • VP Student Life assesses whether the organization meets ISG criteria (uniqueness, student benefit, compliance, incorporation, student governance, etc.).
    • If the organization satisfies all requirements, the VP prepares a formal recommendation.
  3. Legislative Council Decision
    • Recommendation is presented at the SSMU Legislative Council.
    • Council votes on the application; two-thirds approval is required to grant ISG status.
  4. Status Granted
    • Upon successful vote, the organization becomes an SSMU Independent Student Group, gaining access to ISG rights, recognition, and support structures.
